Processing of hostel bookings

Prices and dates displayed for youth hostel bookings are for beds in shared youth hostel room accommodation only. Prices include bed linen, except at our rustic hostels in Glen Affric, Craig and Loch Ossian.

At certain hostels and at certain times of the year, hostel managers can make specific room guarantees. Rooms, however, cannot be booked or requested through this booking channel. All requests for a particular room type or rooming arrangement should be directed instead to the manager at your chosen destination hostel(s) or to our Customer Services Department reservations@syha.org.uk. No comments should be appended to booking forms in an attempt to indicate a preference for a particular room type, and any such modifications will be ignored.

Bookings made through this system for youth hostels are intended for individuals or small parties to a maximum of 9 persons. The maximum duration for any hostel stage is 7 nights, which can be easily extended at check-in, subject to availability.

Reservations enquiries for parties of 10 or more persons, such as groups and school parties should be directed to our specialised groups & schools reservation departments groups@syha.org.uk or schools@syha.org.uk

The person making payment for any booking will be deemed the lead person and assumes responsibility for the accuracy of the booking, the payment details submitted and for conveying all necessary booking details and terms and conditions to the other members of the party.

The booking reference number displayed at the end of the booking process or on the booking statement must be recorded and retained safely as proof of booking and payment.

Bookings and accommodation for families and children.

Please note: Parties arriving with young children (under 5) will only be accommodated in designated family rooms, where available. Young children can share accommodation only with their parents or guardians. Bookings for family/private rooms cannot be made on-line using this system. This system is capable only of providing a bed booking facility, which guarantees beds in shared rooms. In order to request a family room, either the destination Hostel(s) or the Customer Services Department must be contacted directly in advance. families@syha.org.uk

From the age of 5 to 13 years, children must be accompanied by a parent or guardian and may be put into a single sex shared room with the parent or guardian and other guests, at the discretion and responsibility of the parent or guardian. The children, the parent/guardian and the other occupants of the room must be of the same sex. We advise that additional notice be given to the destination hostel to help with operational planning.

Special needs

If any member of the booking party has special needs, notification must be made at least 72 hours in advance of arrival date at each hostel. Special needs facilities vary by hostel. Please check before booking. It is the responsibility of the lead person to ensure that all special needs requirements are identified and communicated to SYHA staff.

General Conditions of Stay

General conditions apply to the use of Scottish Youth Hostels. These can be obtained upon request from SYHA National Office. All members and guests are encouraged to make themselves aware of the full conditions of stay.

Booking Payments

Card payment details submitted are processed automatically and securely, and the entire booking cost will be fully charged at the time of booking.

Options may be available to users for building a customised hostel itinerary, select a pre-built itinerary or choose from a range of Hostel Holiday packages. In such cases, the entire itinerary or package will be treated as the booking and will be charged in full at the time of booking.

No booking fees are charged by SYHA for credit or debit card transactions. The following card types are accepted: MasterCard, Visa, Solo, Switch. The card used must be in the name of the person making the booking. All transactions are in pound sterling currency.

A successfully authorised card payment transaction will result in a confirmation page being displayed, showing the booking reference number. A booking statement should automatically follow this page. Any membership charges due and optional extra services within hostels are payable separately on arrival.

In the event of problems with the card authorisation process, appropriate error messages should be displayed to inform you of the nature of the problem. Promotional offers

SYHA often makes promotional offers, such as those available through loyalty and discount schemes. Bookings made from this site do not take into consideration any promotional offers at the time of booking. Necessary adjustments will be made on or soon after arrival at the destination hostel(s).

Booking Cancellations & refunds

Refunds incur a cancellation fee of 10% and require 72 hours notice before arrival. Arrival is deemed to be 5pm on any given day. Bookings cancelled within 72 hours of arrival or after the booking arrival date will incur a cancellation fee of 100%. All cancellations or refunds should be directed to the Customer Services Department.

Booking Changes

Bookings may be changed, subject to bed availability and overnight price differentials, at no additional cost by contacting our Customer Services Department reservations@syha.org.uk. Bookings may also be changed at no additional cost by staff at most hostels. Please always quote your reference number when discussing your requirements.

Force Majeure

SYHA cannot accept any liability where the hostel booking could not be fulfilled due to circumstances which we could not, even with due care, have foreseen or avoided. Such events may include, but are not limited to, war, threat of war, civil commotion or strife, hostilities, strikes or other industrial dispute, natural disaster, fire, act of God, terrorist activities, technical problems with transportation, closures of airports, ports and/or ferries, quarantine, epidemics, weather conditions, government action or other events outside our control.

For other unforeseen internal operational reasons, SYHA may occasionally be forced to change or cancel one or more destination hostels. In such cases, every effort will be made to contact you in advance, using the contact details supplied at the time of booking or during any subsequent communication. In such cases, no surcharge will be made where customers are required to be relocated to a different hostel or alternative accommodation.

Membership

Hostel overnight prices quoted assume full membership of a national Youth Hostel Association recognised by Hostelling International www.HIhostels.com. Membership is not a pre-requisite to booking, and can easily be obtained on arrival at any hostel on payment of the appropriate additional charge.

Membership is available in full from this secure web site (valid for 12 months from date of issue) or via incremental purchases of Welcome Stamps (one per overnight up to a maximum of six). Both memberships are valid world-wide throughout the Hostelling International chain and qualify for an attractive range of discounts.
